Use cases / Follow up with inbound leads

Speed to lead for small teams: answer every inbound lead fast

The leads who write to you are the warmest you'll get, and they're the easiest to lose. A form comes in while you're on a call. A booking lands on a Saturday. By the time you reply, they've talked to someone else or forgotten why they asked.

Small teams don't usually lose these leads because they don't care. They lose them because the leads are scattered: some in a form tool, some in Calendly, some in a sign-up table, some in the inbox. Nobody has the full list, and writing a good first reply from scratch takes time you don't have.

What works, with or without a tool:

  • Put every inbound source in one place. Forms, bookings, sign-ups and replies, one conversation per person.
  • Reply to the question they asked. Mention their company and what they looked at. Skip the generic "thanks for reaching out".
  • Check the fit before you spend time. A student project and a 200-person company need different replies.
  • Send from a person, not a no-reply address. It's a conversation.
  • Decide what happens if they don't answer. Choose Follow up, Later, or Not a fit, so no lead sits in limbo.

How AO does it: every form, Calendly booking and PostHog sign-up lands in your Inbox as one conversation per person. AO then:

  • matches the lead to a real company;
  • scores the fit against your buyer profile, with the reasons shown;
  • drafts a reply in your voice, where every fact names its source.

You read it, edit it if you like, and approve it. It sends from your own Gmail or Outlook. Ask AO "what do we know about this lead?" and get the answer, the sources and a suggested next step. The Queue keeps everything waiting on you in one list, and you can tick up to 10 drafts and approve them together. AO never sends a first message on its own.

Questions

Does AO reply to leads automatically?

No. The first message to each person waits for your approval and sends from your own mailbox. Later, on a channel where AO's scoring has agreed with your reviews on 95 of 100 messages, you can choose to let high-scoring messages go on their own. That setting is off until you turn it on.

Which inbound sources does it read?

Your website forms (a capture key or a hosted form), Calendly bookings, PostHog sign-ups, and replies to your mailbox.

Can my teammate answer leads too?

Yes. Invite them as a Member. A mailbox stays its owner's: a teammate can edit a draft and ask you to approve it, unless you turn on sharing for sending.
