Who we are and our role

Artificial Outreach ("we", "us") is outbound and inbound email software. It finds companies that fit your ideal customer, writes to the right people from your own mailbox, and answers the leads your website brings in.

For account holders and website visitors, we decide how personal information is used. For information about the people our customers write to and the leads they receive, the customer decides, and we process it on their behalf and under their instructions.

Your mailbox

When you connect a mailbox, Artificial Outreach sends the messages you approve from it, reads replies to those messages so it can stop a sequence when someone answers, and reads the inbox to show it to you inside the product. It does not read mail unrelated to the product’s own threads for any other purpose.

Alerts and the morning summary are sent from your connected mailbox to the members of your workspace. At connect, the product checks your domain’s mail records so it can tell you whether the domain is set up to send safely.

You can disconnect a mailbox at any time from Settings. Disconnecting stops all access, and the email we stored for that mailbox is deleted.

People you write to, and your leads

The product stores the names, titles, addresses, phone numbers and company details of the people you choose to contact, the messages sent to them, their replies, and, when you use calling, call transcripts and outcomes, so that you can see the conversation and so that the product can honour their wishes. An unsubscribe, or a reply asking to stop, is recorded for your whole company, and nothing further is sent to that address.

To find people and companies, the Service uses free public registers where one covers your market, lists you upload, public web pages about companies, and the data provider you use, such as Apollo.io.

Submissions to your website form or to the hosted form the product gives you are stored as leads and, where you have set it up, answered. A submission from a disposable or testing address is kept as a record and never written to.

Other information we collect

• Account information: your name, work email, company, and the people you invite. If you sign in with Google, we receive your name, email address and profile picture to create and secure your account; that sign-in does not give us access to your email.
• Billing: your plan and billing history. Payments are processed by Stripe; we do not store full card numbers.
• What you set up: your website, products, ideal customer, offers, personas, sequences and the lists you upload.
• Website visitors: what you submit through our forms. With your consent only, we use Google Analytics and page performance measurements. If you reject them, or your browser sends a Global Privacy Control signal, we do not load them.

Free tools on our website

The company profile. When you use “Who buys from you?”, we read the public pages of the website you give us and use an AI provider to build a profile of that company’s likely buyers. We keep that profile, and may refresh it when the site changes, until you ask us to delete it.

Your email, if you give it. If you give your work email for the full profile, we keep it as a sales lead for Artificial Outreach, with your company’s website, the names of the buyer groups we found, and the time, IP address and browser of the request for security. We email you about Artificial Outreach only if you ticked the box, and every email has an unsubscribe link. We keep the lead until you ask us to delete it.

To have a company profile or your details deleted, email hello@artificialoutreach.com with the website or the address you gave. We confirm when it is done, within 30 days.

How we use it

• To run the Service: finding and scoring companies, verifying addresses, drafting and sending the messages you approve, answering leads where you have switched that on, and showing you replies.
• To bill you, send account notices, and support you.
• To keep the Service secure, prevent abuse and spam, and enforce plan limits and our Terms.
• To tell people who asked about Artificial Outreach, through our forms or free tools, about the Service.

We do not sell personal information, we do not use it for advertising, and we do not use your mailbox content or your contacts to train AI models.

Who processes data on our behalf

No mailbox content is sent to AI providers beyond the message being drafted and the reply being classified. When you use calling, a voice AI provider runs the call and transcribes it. Where used, People Data Labs, email verification services (Hunter, ZeroBounce) and a web page reader also process the contact details and public pages involved.

We may also disclose information if the law requires it, to protect people or the Service, or in a merger or acquisition, in which case this policy continues to apply.

Google user data

Artificial Outreach’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We use Gmail data only to provide the features described above, share it only with the processors that provide them, never use it for advertising, and never sell it. People at Artificial Outreach do not read your email unless you ask us to for support, it is needed to investigate security or abuse, or the law requires it.

How long we keep it

• Mail threads, leads and contact records are kept for as long as your workspace exists.
• When a trial or a plan ends, your workspace goes read-only and its data is kept for 30 days, then deleted. Choosing a plan within that time restores it in place.
• You can ask for your workspace to be deleted at any time, from Settings or by email.
• Company profiles built by our free tools are kept until you ask us to delete them at hello@artificialoutreach.com.
• Leads from our free tools (your email and the details above) are kept until you ask us to delete them at hello@artificialoutreach.com.
• Deleted data can remain in backups for up to 30 days. Billing records are kept as long as tax law requires.

Your rights, and your prospects’ rights

Anyone written to through the Service can stop further contact with one click on the unsubscribe link in every message, or by replying to say so.

You, and anyone whose information the Service holds, can ask to see, correct or delete it, or object to how it is used, by writing to hello@artificialoutreach.com. We answer within 30 days. If you were contacted by one of our customers, we will pass your request to them and help them honour it. We do not sell or share personal information for cross-context behavioral advertising.

Cookies and analytics

We use essential storage to keep you signed in and to remember your cookie choice and display theme. Analytics load only after you accept them. Change your choice at any time with Cookie settings at the bottom of any page; rejecting stops analytics immediately and removes their cookies.

Transfers, security and children

Information is processed in the countries listed above. Where the law requires, we rely on appropriate safeguards for these transfers. We protect it with encryption in transit and access controls; no system is completely secure, and we will notify affected customers of a breach as the law requires.

The Service is for businesses and is not directed at anyone under 16.
