CRM for commercial cleaning: book every walkthrough, follow up every bid

Facility managers often ask several cleaning companies to bid. AO answers each enquiry with walkthrough times, and when a bid goes quiet it drafts the follow-up for you.

Residential cleaners have moved to online booking. Commercial cleaning, where work is won by bids, mostly hasn’t.

How to quote cleaning services, and follow up the bid

What to put in the quote

  1. The scope by area and frequency (“offices and restrooms nightly, floors weekly, windows monthly”).
  2. A price per month, plus any one-off deep clean listed separately.
  3. What’s included: supplies, equipment, insurance, supervision.
  4. A start date and how long the price holds.
  5. One clear next step: “Reply to confirm a start on {date}.”

What wins commercial bids, with or without a tool

  1. Answer every enquiry the same day, with walkthrough times.
  2. Before the walkthrough, ask for square footage, frequency and any special areas.
  3. Send the bid within two working days of the walkthrough.
  4. Follow up at day 2, day 5 and day 14, each time with one useful thing (a scope option, a start date, a reference).
