A CRM for agencies: answer every enquiry, follow up every proposal
Agencies don't usually lose work to a better pitch. They lose it in the gaps: the enquiry that sat in a shared inbox over a launch week, the proposal nobody chased, the past client who would have come back if someone had asked.
What works, with or without a tool:
- One list of every enquiry. Website forms, booked calls and email replies, one conversation per company.
- Check the fit first. Write down who your best clients are (size, industry, budget, the problem they bring) and judge each enquiry against it.
- Reply about their problem, not your services page. Mention what they asked for and one piece of work like it.
- Follow up proposals on a date, not when you remember. Most proposals that go quiet were never followed up.
- Keep past clients warm. A short note when you ship something relevant to them is the cheapest new business you'll get.
How AO does it: forms, Calendly bookings and replies land in one Inbox, one conversation per person. AO matches each lead to a real company, scores the fit against your Ideal Customer Profile with the reasons shown, and drafts a reply in your voice and checks every claim in it before you see it. You approve it and it sends from your own Gmail or Outlook. Deals move through your pipeline as people reply and book, and the Queue shows everything waiting on you, including proposals with no answer.
For past clients and old enquiries, start a broadcast from an offer: you pick the audience by stage, see the count and who's left out, and AO writes each email for one person. The first one waits for your approval. Paying clients are left out unless you choose them.

Questions
Does AO send emails on its own?
The first message to each person waits for your approval. On an offer that books appointments, the default is different: Strong fits book on their own, within your hours. You approve the rest. You can change it any time (Ask me first, or Book everyone).
Can my team share it?
Yes. Invite teammates as Members. A mailbox stays its owner's: a teammate can edit a draft and ask its owner to approve it, unless sharing for sending is turned on.
Can I manage my clients' leads in AO?
AO is built for your agency's own pipeline: one workspace per company. To run a client's pipeline, set up a workspace for that client.
